RDJ specializes in complex, high-stakes projects where precision and experience are non-negotiable. Their portfolio includes healthcare renovations within active hospital environments, senior living communities, institutional work for Florida Gulf Coast University and local school systems, as well as select high-end residential projects. These are projects where coordination is critical, downtime is not an option, and execution must be seamless.

Scaling operations beyond legacy limitations

As RDJ Construction continued to grow, its operational demands began to exceed the capabilities of its legacy systems. The company had operated on Viewpoint Spectrum for six years, with Procore supporting project management workflows.  

While functional, the integration between systems was limited.  

On the accounts receivable side, invoices entered in Procore had to be manually recreated in Spectrum—every time. On the accounts payable side, invoices uploaded by vendors or project managers required re-entry into the accounting system, and payment statuses had to be manually updated back in Procore. Change orders required workarounds, and resolving discrepancies was time-consuming.  

The strain was most evident during RDJ’s monthly billing cycle. With a firm cutoff on the 20th, more than 100 invoices would hit simultaneously, all requiring manual entry. The process was inefficient, error-prone, and increasingly unsustainable.  

Recognizing these limitations, RDJ began evaluating new solutions. Acumatica quickly emerged as the preferred ERP platform due to its flexibility, modern architecture, and strong integration capabilities. However, simply changing systems was not enough—the company required a seamless connection between project management and accounting.  

A deeper integration with Procore was essential.

A strategic integration that transformed workflows

RDJ evaluated Agave alongside its ERP transition. From the initial demonstration, it was clear the platform addressed the exact operational gaps RDJ had been facing.  

Implementation was efficient, and the resulting configuration provided a balance of control and automation. Projects are intentionally linked at the time of award, ensuring the accounting team maintains oversight of when jobs activate across systems. From that point forward, workflows are automated.  

Accounts receivable invoices now sync directly from Procore into Acumatica without duplicate entry. Accounts payable invoices flow through review and payment without manual re-keying. Payment statuses update automatically, eliminating the need for follow-ups. Change orders align seamlessly by cost code, and enhanced cost visibility allows teams to drill into supporting documentation, labor, and line-item detail directly within Procore.  

The result is a unified system that supports both operational efficiency and financial accuracy.  

Reclaiming time and elevating financial controls

The immediate impact of Agave was measurable. RDJ Construction eliminated one to two full days of manual data entry each month during its billing cycle alone.  

More importantly, the shift fundamentally changed how the accounting team operates. Instead of being consumed by transactional tasks, staff now focus on higher-value activities such as reconciliations, subledger tie-outs, and financial accuracy checks—work that strengthens internal controls and supports better decision-making.

RDJ Construction operates at a level of volume and complexity that exceeds many general contractors, managing approximately 600 projects annually, with 20 to 30 active jobs in Procore at any given time.
