Founded in 1960, RW Dake Construction has grown into one of the East Coast’s most trusted specialty contractors. With ten regional office locations and a portfolio spanning everything from corporate buildouts to healthcare facilities and bank branches for several of the nation’s largest banks, RW Dake is a rare blend of scale and detail orientation.
The team’s work is as diverse as it is complex: working on high-profile projects such as Mohawk Valley's Wynn Hospital, the first new hospital built in New York State in decades, a new Flagship location of Dick's House of Sport, the largest of its kind, the new Buffalo Bills Stadium project, and hundreds of bank branch and corporate fit-outs across the Northeast and mid-Atlantic regions.
Over the past 5 years, RW Dake has dramatically expanded in size and geographic footprint, and has seen its annual revenues grow by more than 2.5x, completing hundreds of millions of dollars of commercial construction work during this time.
But, as RW Dake scaled, the finance and operations teams found themselves needing a more reliable way to connect their project data in Procore with their accounting system, Foundation.
The challenge: growth outpacing the old tools
Before Agave, RW Dake used Foundation’s own Procore integration. It worked for a time—but as their volume increased, the integration couldn’t meet their needs. Syncs failed without warning, errors were hard to interpret, and problems were hard to troubleshoot with support.
For CFO Ken Pattridge, the burden fell squarely on his shoulders. He was often the only person who could manually force data through the integration — spending hours each week manually pushing data and troubleshooting what should have been automated. And when the sync broke (a sometimes frequent occurrence), critical information like job costs, pay apps, and invoices ground to a halt across departments.
The fallout was costly. Billing cycles lagged, errors slipped through, and project teams operated off outdated financial data. In one particularly painful experience with the old connector, a $10 million project was incorrectly linked, accidentally pushing direct costs to the wrong job. The mistake couldn’t be reversed inside the old tool, and the project's financial data had to be tracked off-book for many months, creating a parallel manual workflow just to keep the project finances balanced.
The turning point: finding a partner who “gets it”
RW Dake first learned about Agave from a CFMA forum post where the Agave team responded to Ken’s question about Procore-Foundation integrations. That conversation led to a demo with Agave co-founders, John and Tom.
From the start, Agave offered something the previous connector never did: visibility. A clear dashboard showed every sync, error messages were easy to understand, and users could trace exactly which records moved, when, and why. With Agave, Ken and his team could finally trust the integration instead of having to accommodate for it’s shortcomings.
Agave’s team also took an active role in helping RW Dake modernize their processes. By showing how to push AP invoices directly from Procore to Foundation and introducing a robust data-validation layer to catch errors before they synced, Agave gave RW Dake confidence to expand its Procore usage across the entire organization.
Today, the project management staff at RW Dake can perform their daily tasks and review their projects almost entirely within Procore, without having to rely on accessing the Company's accounting software to get the information they're looking for. That shift simplified employee onboarding, reduced technology costs, and enabled the accounting team to control project accounting without bottlenecking operations teams, all while providing accurate and up-to-date job data to project management that they can rely on to make decisions and confidently run their jobs.
Results: time savings, accuracy, and room to grow
Since adopting Agave, RW Dake has turned a painful manual process into a fast, automated workflow that has scaled seamlessly with their rapid growth. CFO Ken Pattridge estimates he personally saves about an hour each day compared to their previous process. Across the accounting team, automation has freed up an additional 5–10 hours per week that used to be spent on manual data entry and painstaking error resolution.
The financial impact is significant too. By reducing user licenses for systems by 5-10 seats, RW Dake is saving up to $18,000 per year in costs alone.
But for the RW Dake team, the real value goes beyond time and money. With validated data flowing predictably between systems, the team has peace of mind that financials are correct and auditable.
